Responsibilities and Duties:
Main purpose of the job
This position is expected to support the Director – Academic Administration who leads the academic administration department at the University level in ensuring efficient programme delivery with optimum utilisation of available resources.
Key areas of responsibility
- Academic Administration of degree programmes
- Preparation of timetables of all degree programmes at IFMR GSB and SIAS schools in coordination with Director-Academic Administration, Programme Chairpersons, Division Chairs / Area Chairs and faculty.
- Ensure optimum utilisation of faculty time considering student choices, clash in elective registration, faculty staying in Sri City campus and Chennai and their transport requirements.
- Manage changes to class schedule wherever needed
- Schedule all lectures by external guests in the courses and outside the course curriculum
- Closely work with transportation department, faculty and programme offices to arrange for transportation wherever required
- Maintain University level event calendar considering holidays, classes, student co-curricular & extra-curricular activities and other management level meetings
- Finalisation of faculty teaching hours and their defined workload
- Preparation of course catalogues / syllabus
- Student advising
- Verification of VF offer letters, student bona fide letters, payment approvals and support in budget preparation and reconciliation of budget vs actuals
- Preparation of academic calendar of all degree programmes
- Provide assistance to Student Registration to programmes, Convocation and other important events of the department
- Monitor department activities to ensure timely and efficient delivery of the work assigned to all team members
- Assist the Director in automating the departmental processes
- Preparation of Student Manuals
- Any other task assigned from time to time
