Your responsibilities will include but not be limited to:

  1. Work on admissions-related parameters including eligibility criteria, weightage logic, fee structure, refund policy, brochures, admission timelines, and ensure implementation of approved details across the website and CRM systems.
  2. Set up, test, and validate admission landing pages, application forms, workflows, payment gateways and automations, ensuring a smooth end-to-end applicant journey from registration to submission.
  3. Coordinate with internal teams such as Communications, IT, CRM vendor, Accounts, Operations, Program Office, and Faculty members to implement admissions campaigns, system configurations, and operational workflows.
  4. Handle candidate queries through email, phone calls, QMS portals, ensuring timely and accurate responses to applicants and parents/guardians.
  5. Manage admissions campaigns by creating and configuring email and whatsapp templates in the CRM system and monitoring automations post approval.
  6. Run eligibility reports, maintain document verification trackers, and perform mandatory manual verification of applicant data to identify discrepancies, anomalies, or missing information, and make corrections.
  7. Shortlisting of candidates based on eligibility criteria and submit finalized lists.
  8. Coordinate all interview-related activities, including slot booking, faculty panel scheduling, allocation of candidates to panels and coordinators, attendance tracking, and coordination with IT for interview infrastructure.
  9. Ensure accurate recording of interview attendance and scores, upload evaluations into the CRM system, generate weightage reports, and perform manual verification of calculations before sharing reports.
  10. Draft, coordinate approval for, and release offer letters, waitlist communications, fee details, and payment instructions through email, and whatsapp channels.
  11. Track fee payments using CRM reports and internal trackers, reconcile payments with finance records, monitor approved transactions, and maintain accurate MIS and fee tracking reports.
  12. Manage refund requests through the system, compile and review refund data, calculate applicable deductions, coordinate approvals, and liaise with the Accounts department to ensure refunds are processed within regulatory timelines.
  13. Handle admissions processes for entrance-based intakes such as APICET, including downloading allotment data, coordinating reporting and onboarding, generating demand letters, tracking payments, and sharing final candidate lists with relevant departments.
  14. Support post-admission activities including candidate onboarding, document verification through ERP system, verification of final results and eligibility, maintenance of pending document trackers, and coordination with students for completion of formalities.
  15. Process and coordinate memberships, service orders, payments, and other administrative tasks related to admissions. 16. Coordinate collection, organization, and maintenance of admissions data, reports, approvals, timelines, and documentation required for internal reviews, audits, rankings, and accreditation purposes.
  16. Collect, analyze, and maintain competitor college data related to fee structures and placement outcomes, and prepare comparative and ratio-based reports for admissions planning and strategy.
  17. Manage and maintain complete backups of all admissions-related data, including Meritto CRM data and admissions website pages, as per institutional and vendor guidelines, ensuring data accuracy, availability, and audit readiness.
  18. Prepare and issue bonafide letters, demand letters, and other admission-related documents post approval, as required
  19. Maintain and update applicant and admissions databases, ensuring confidentiality, accuracy, and timely updates throughout the admission cycle.
  20. Perform any other duties and responsibilities as assigned by the management from time to time in relation to admissions and institutional requirements.
