Your responsibilities will include but not be limited to:
Job Description:
- Work on admissions-related parameters including eligibility criteria, weightage logic, fee structure, refund policy, brochures, admission timelines, and ensure implementation across website and CRM systems.
- Set up, test, and validate admission landing pages, application forms, workflows, payment gateways, and automations, ensuring smooth end-to-end applicant journey.
- Coordinate with internal teams such as Communications, IT, CRM vendor, Accounts, Operations, Program Office, and Faculty to implement admissions campaigns and workflows.
- Handle candidate queries through email, phone calls, and QMS portals with timely and accurate responses.
- Manage admission campaigns by creating/configuring email and WhatsApp templates in CRM and monitoring automations post approval.
- Run eligibility reports, maintain document verification trackers, and perform manual verification of applicant data to identify discrepancies and correct them.
- Shortlist candidates based on eligibility criteria and submit finalized lists.
- Coordinate all interview-related activities including slot booking, panel scheduling, allocation of candidates, attendance tracking, and IT coordination.
- Ensure accurate recording of interview attendance and scores, upload evaluations in CRM, generate weightage reports, and verify calculations before sharing.
- Draft, coordinate approval, and release offer letters, waitlist communications, fee details, and payment instructions through email/WhatsApp channels.
- Track fee payments using CRM and internal trackers, reconcile with finance records, monitor approved transactions, and maintain accurate MIS and fee tracking reports.
- Manage refund requests through the system, compile and review refund data, calculate deductions, coordinate approvals, and liaise with Accounts for timely processing.
- Handle admissions processes for entrance-based intakes (such as AP ICET), including downloading allotment data, reporting, onboarding, demand letters, payment tracking, and sharing final candidate lists.
- Support post-admission activities including onboarding, ERP-based document verification, final eligibility checks, maintaining pending trackers, and coordinating with students.
- Process and coordinate memberships, service orders, payments, and other administrative tasks related to admissions.
- Coordinate collection, organization, and maintenance of admissions data, reports, approvals, timelines, and documentation for reviews, audits, rankings, and accreditation.
- Collect, analyze, and maintain competitor college data related to fees and placements, and prepare comparative and ratio-based reports.
- Manage and maintain complete backups of admissions-related data (CRM and website) ensuring accuracy, availability, and audit readiness.
- Prepare and issue bonafide letters, demand letters, and other admission-related documents post approval.
- Maintain and update applicant and admissions databases, ensuring confidentiality, accuracy, and timely updates throughout the admission cycle.
- Perform any other duties and responsibilities assigned by management from time to time related to admissions and institutional requirements.
- Attending school career fairs for UG outreach activities, and college & coaching activities for the PG program
